To view this website, visitors do not need to provide any personal details (such as name, title, gender and date of birth); contact details (such as email address, phone number and postal address); or financial information (such as bankcard information, bank details, or other payment information).

When you attend one of our events or meetings, or otherwise provide your details to a member of our staff, a trustee or other representative of the Foundation;

From information provided to us by your organisation in connection with a funding application or a project which we are supporting;

In various other ways as you interact with us during the time you use our services.
The categories of data we collect
We may collect the following categories of personal data about you:
Your name and contact information such as your address, email address and telephone number (and, on an ongoing basis, any change in your contact details). We will treat your communications confidentially and will not disclose information outside our organisation except where necessary to respond to your enquiry, or with your explicit agreement;
To a limited extent and only occasionally, medical information such as dietary requirements where we require this information to provide catering services to you at our events;
Information concerning your engagement with the Foundation, including records of communications between you and us and your attendance at events and meetings organised by the Foundation;
Gift Aid declaration and related financial information, where relevant (for example, where we process donations); and
Your opinion and feedback in relation to any surveys or questionnaires issued by the Foundation that you complete, such as feedback on our charitable services and events.
The basis for processing your data, how we use that data and with whom we share it
1. Legitimate interests
We may process your personal data because it is necessary for our or a third party’s legitimate interests. This will always be weighed against your rights, interests and expectations. Our legitimate interests include the operation of the Foundation in accordance with our charitable objects and in a professional, suitable manner in accordance with all relevant legal requirements. For example, we may process your personal data in accordance with our legitimate interests by:
Corresponding with you about our charitable services, including details of events and projects that you have requested from us;
Evaluating whether you / your organisation may qualify for a grant;
Sending you our newsletter to let you know about the Foundation’s work and activities from time to time;
Processing technical information about your use of our newsletter (via Mailchimp) to monitor the impact of our work and improve the newsletter;
Processing enquiries, complaints and analysing our services;
Planning and holding events;
Marketing our services, events and resources– except in situations where it is required or appropriate to seek your specific consent.
In this respect, we may also provide your personal data to the following (where this is necessary for our or a third party’s legitimate interests):
Other employees, agents and contractors of the Foundation where there is a legitimate reason for their receiving the information, including third party service providers who we may engage to assist in delivering grant or other services to you or the organisation you represent (for example, event organisers, caterers, other artists, application panel members and speakers);
Our bank, to whom payment details are provided in order to process a payment made to you or the organisation you represent;
Our website operator (Squarespace), who may process technical information about your use of our website to ensure that the content is presented in the most effective manner;
Our professional advisers, where it is necessary for us to obtain their advice or assistance;
Professionals who assist us in putting together the Foundation newsletter and website content, and our IT support and data storage provider(s);
Social media platforms, such as Instagram and Vimeo, where you click on a plugin or view video content on our website (see more below).
2. Legal obligations
We may also process your personal data for our compliance with our legal obligations. In this respect, we may use your personal data to comply with subject access requests of others, tax legislation, safeguarding requirements (for example those required by the Charity Commission), for the prevention and detection of crime, and in order to assist the police and other competent authorities with investigations (including criminal investigations). In this respect, we may provide your personal data to our professional advisers, where this is necessary for us to obtain their advice or assistance.
3. Consent
In some circumstances the Foundation may seek your specific consent to process your personal data. For example, if we wish to use your name, likeness or an attributed quote in our newsletter, on our website or in marketing materials; or where we send you our newsletter (where applicable, ie you have signed up to our newsletter mailing list on our website).
We will normally seek consent when processing your medical information such as dietary requirements or other information about your health, such as for our records. At times the processing of personal data concerning your health may be necessary to protect your vital interests (such as your immediate safety) and it may not be appropriate to seek your consent in such circumstances.]

How long your information is kept
We may retain your personal data for as long as is necessary to deliver our charitable services to you or the organisation you represent, and to protect our legal interests (for example where required by relevant authorities, or for a reasonable legal limitation period after we have ceased providing grant funding or services to the organisation you represent/ed) or as otherwise stated to you when your data is collected, or for such period as we reasonable consider appropriate in connection with our relationship with you and/or the organisation you represent/ed; or for record-keeping and archival purposes.
International transfers
Your personal data is generally only processed within the UK and/or European Economic Area (EEA), to the extent required for business management purposes.
As a matter of course, we do not transfer your data outside the EEA. We may, however, transfer your personal data around the world on an ad hoc basis, for example where this is necessary for our interaction with you, and you are located outside of the EEA. In such circumstances, we will consider whether any additional measures are required in order to give adequate protection for the information when it is transferred.
